Invoicing

Invoices bill against the Contract and any Approved Change Orders. Every dollar invoiced is tracked against something the customer signed.

Opening the Invoice Modal

On a Contracted version, the invoice action lives in the corner-badge $ Create Invoice button on the project's Details page. The older bottom-of-page Generate Invoice button has been retired in favor of this one.

Draft versions don't invoice

The Create Invoice button only appears on Contracted versions. If a project is still in Draft, approve an estimate first to create the contract baseline.

Filling Out an Invoice

Inside the modal you'll see one row for the Contract and one row for each Approved Change Order. Every row shows three numbers:

  • Total — the full value of that contract or CO.
  • Billed — how much has already been invoiced against it across previous invoices.
  • Remaining — what's still available to bill.

For each row you want to bill on this invoice, choose how to enter the amount:

  • Type a dollar amount directly.
  • Type a percentage of the remaining balance.
  • Click the 100% shortcut to bill the entire remaining balance.

Rows that have already been fully billed are visually muted and their inputs are disabled — there's nothing left to bill on them.

Tax appears as its own line

Invoice line items are pre-tax. Below the line items, the PDF renders Subtotal / Taxes / INVOICE TOTAL as separate rows so the customer sees the breakdown. The tax rate comes from the project's Tax Rate setting at the time the contract was approved. See Per-Project Currency for how project currency and tax interact on non-USD projects.

Voiding an Invoice

Voiding a posted invoice rolls back the billed amounts on each line it touched. The Contract and CO rows in the invoice modal will reflect the new, lower Billed totals on your next invoice.

The voided invoice itself stays visible in the Previously billed history at the bottom of the modal as a read-only reference, so you always have the paper trail.

Deleting an Invoice

Deleting works differently depending on whether the invoice is live or voided:

  • Live invoice — delete is refused. The invoice is affecting the ledger; you have to void it first.
  • Voided invoice — delete is allowed. The void already rolled back its impact, so removing the record is safe.
