AVIP Assistant
An AI assistant built into the Workbench that understands your projects, emails, and action items.
Overview
The AVIP Assistant (AV Intelligence Platform Assistant, formerly AVClawPilot) is a conversational AI assistant that lives in the right panel of the Workbench. It can search your data, update projects, generate documents, and answer questions about your work — all through natural language.
Opening AVIP Assistant
Click the chat icon in the Workbench header to toggle the AVIP Assistant panel. The icon highlights when the panel is open.
The AVIP Assistant and the schematics copilot work on a paid plan and during the free 30-day trial. When the free trial ends, both panels show a lock and an Upgrade link until your company chooses a paid plan. A Read-only user can ask questions and read data, but cannot change project data through the assistant's tools or save company skills.
Context-Aware Conversations
When you focus a project by clicking its card in the feed, AVIP Assistant automatically receives context about that project, including:
- Project name, stage, job number, and customer
- Room list
- Open and in-progress action items
- Recent email summaries
This means you can say things like "what's going on with this project?" or "move this to Shipped" and AVIP Assistant will know which project you're referring to.
If no project is focused, AVIP Assistant works in general mode and will ask which project you mean when needed.
What AVIP Assistant Can Do
Search & Lookup
- Search products by name, model, or description
- Look up project details, rooms, and equipment
- Search customer and vendor information
- Find emails related to a project
- Read delivery sweeps, scope-change runs, and past decisions
Delivery-sweep and scope-change decisions are made on the review cards in the AVIP Assistant panel, never in chat.
Update Data
- Update project name, job number, and personnel
- Change a project's pipeline stage (Quote, PO, Ordered, etc.)
- Update project configuration (rates, markups)
- Modify customer and vendor details
- Set a room's quantity (how many identical copies of the room the project has) and its travel cost
Create Records
- Create new projects from email context
- Add products, customers, and vendors
Generate Documents
- Generate PDF invoices, estimates, and proposals
- Documents appear as downloadable attachments in the chat
Rack Elevations
- List a project's racks, and read a rack and the devices available to place on it
- Create, change and delete racks and the company's rack templates
- Place, move and remove devices, objects such as shelves, blanks and vents, and margin notes on a rack
Proposal Builder
- Build a proposal template block by block: add, change, move, duplicate and delete blocks
- Set the columns, the theme and the cover layout, and preview the template
- Generate a proposal and share it
Sales Playbook
- Read the sales playbook and change its coaching prompt
- Create, change and delete call types and playbook documents, and link a document to a call type
Sales Leads
- List, create, change and delete sales leads
- Move a lead to another stage, add a follow-up, and convert a lead to a customer
Price Checks
- Price-check a room: find a cost for each line that has none, from your product catalog or from a vendor's pricing API
Floor Plans
- List, create, rename and delete a project's floor plans, the plans the Measure page draws on; deleting a floor plan keeps its rooms
CAD and Device Tags
- Read a project's units and device tags, the CAD block library, the CAD tag list, linked AutoCAD drawings and their placements, and the units not drawn on the active version
- Set device tags, systems on lines, product categories and blocks, and per-unit attributes such as serial numbers
- Accept units that are meant to stay off a view, rename a drawing link, unplace a unit, and remove a drawing link after showing you what it removes and waiting for your confirmation
- Add and change the company's device categories and systems, a category's default blocks, and a block's name, description, views and archived state
These are the same CAD tools Claude Desktop uses; see MCP Server. In the app and in Claude Desktop they work on the free trial and on paid plans, and a Read-only user can read CAD data but not change it.
AVIP Assistant Memory
AVIP Assistant remembers context from your previous conversations. It stores key information like project preferences and lessons learned, so you don't have to repeat yourself across sessions.
Chat History
Your conversation history is preserved across page navigations and persists through full page refreshes. Each project keeps its own conversation. To start over, click More actions (the ⋯ button in the AVIP Assistant header) and choose Delete conversation, or type /clear and press Enter. The panel first asks Delete this conversation? under the header: click Delete to go ahead or Cancel to keep it. Delete removes the conversation's saved messages, so they do not come back on your next visit. Typing /clear never sends anything to the assistant.
Model Stats
A dot at the top left of the AVIP Assistant header shows its state: green when it is ready, amber and pulsing while it works, red when the last reply was an error. While it answers, the header shows the tool it is running (or Thinking between tools) and live stats:
- Tokens — How many tokens have been generated
- Time — How long the request has been running, in seconds
- Tokens/sec — Processing speed
After a response completes, point at the context meter or move to it with Tab to see the final totals and the AI model that answered. After a /kb answer it also names the model of the documentation search steps. When the meter is not shown, the final totals sit in the header itself.
Long Conversations
AVIP Assistant keeps the whole conversation, including what its tools found, so a follow-up such as "add the second one to the boardroom" uses the products and rooms it already found instead of searching again. It does not keep the text of emails, Teams messages, call transcripts, leads or outside records from one message to the next: the assistant re-reads emails and transcripts when it needs them again. It does not keep document links either, and fetches a fresh link when you ask for a document again. Each message now costs more credits than before, because the assistant thinks before acting and re-sends the conversation, including the results of its earlier tool calls, until it is compacted.
A conversation cannot grow forever. When it gets long, the assistant compacts it: it replaces the older part of the conversation with a shorter form that keeps the gist, and carries on from there. This happens on its own when the context meter below reaches the compaction size, 200,000 tokens by default (a token is a short piece of text, the unit the AI reads and is billed by). You can also compact it yourself at any time:
- Context meter — the bar at the bottom of the header, with the figures beside it, for example
38k / 200k context: the size of the last request (the conversation plus the assistant's instructions and tools) against the compaction size. The bar fills as the conversation grows and turns amber once it passes 80% of that size. Right after you compact by hand it reads a little lower than it will on your next message, because it does not count the assistant's own instructions until then. - Compact conversation — in the More actions (⋯) menu at the top right of the header. Choose it to compact the conversation now. The header says Compacting while it runs, and a thin Earlier messages summarized line marks the point in the chat. The messages on screen stay where they are.
The menu item is hidden while a /kb documentation question is active and while a workflow run board is open. It is greyed out while the assistant is answering, when there is nothing new to compact, and when your credit balance cannot cover one compaction (the item then says Top up credits to compact under its name). Each compaction you start uses credits like one assistant request. If your balance cannot cover it when you click, the chat says Not enough credits to compact this conversation. Top up to continue. and nothing runs or is charged. If it fails, the chat says Couldn't compact the conversation. Nothing was changed. and nothing is charged. If the compaction ran but could not be saved, the chat says Couldn't save the compacted conversation. Nothing was changed. and the compaction is still charged, because the work was done.
Tips
- Focus a project before asking questions about it — AVIP Assistant will have full context.
- Be specific: "update the sales engineer to John Smith on this project" works better than "change the person".
- AVIP Assistant can chain actions — "create a project called Boardroom Upgrade for Acme Corp and set the stage to PO".
- Use natural language — you don't need to remember exact field names or commands.
Credits
Each AVIP Assistant interaction uses AI credits from your organization's balance. See AI Credits for details on credit usage and billing.
